Securing the Japan Student Visa and Certificate of Eligibility (COE)
If you are planning to study a Bachelor, Master, or PhD program in English or Japanese at a Japanese university, you must obtain a Japan Student Visa. The Japanese visa process is unique because it is a two-step process: your university must first obtain a Certificate of Eligibility (COE) from the Japanese Immigration Services Agency before you can apply for the visa.
In this guide, we break down the step-by-step process of securing your COE and Japanese student visa.
Step 1: Secure University Admission & Submit COE Documents
Once you are admitted to a Japanese university, the university's international office will act as your sponsor. You must submit all required COE documents directly to the university portal:
- Application form for Certificate of Eligibility (COE).
- Passport scans.
- Financial proof (bank statements showing at least ¥2,000,000 JPY for one year of study).
- Academic transcripts and graduation certificates.
Step 2: University Applies for the COE in Japan
The university will submit your application to the local Japanese Immigration Bureau in Japan.
- The Immigration Bureau reviews your educational credentials and financial sponsor's assets.
- Processing Time: It takes 1 to 3 months for the Immigration Bureau to issue the physical or digital COE.
Step 3: Receive Your COE
Once approved, the Immigration Bureau will issue the COE to your university. The university will then forward the COE to you (either via mail or as a digital PDF with a secure QR code).
Step 4: Apply for Your Student Visa at the Japanese Embassy
With your COE, you can now apply for the student visa in your home country.
- Visit the nearest Japanese Embassy, Consulate, or authorized visa agency (like VFS Global).
- Submit your application containing:
- Your original passport.
- The Certificate of Eligibility (COE) original or print.
- Visa application form with passport photos.
- University admission letter.
- The visa is typically processed in 5 to 10 working days.
Step 5: Land in Japan and Receive Your Residence Card
When you land at a major Japanese airport (such as Tokyo Narita, Tokyo Haneda, or Kansai International), the border officer will scan your passport and COE, and immediately print your physical Residence Card (Zaijyu Card).
